2025 VENDOR/EXHIBITOR RULES AND REGULATIONS
EVENT RULES:
•Display Vehicle(s): If you plan to have a display vehicle(s) in your booth space, the vehicle(s) MUST BE PLACED & STAY in your booth from 9 am to 6 pm daily. NO driving in/out privileges allowed with display vehicles, unless registered in the event.
•Manufacturers’ Midway Hours:
- Friday 9 am to 6 pm
- Saturday 9 am to 6 pm
- Sunday 9 am to 3 pm
•Sunday teardown/dismantle begins at 3 pm. Please do not start teardown/dismantle before 3 pm.
•Security will be provided throughout the event, including overnight. However, we cannot guarantee against loss or theft. Please take reasonable precautions with your property.
•No electrical service for vendor booths will be available. All vendors must be self-contained. Generators must be placed so as to not disturb other vendors.
•No RVs or camping on the midway allowed. No exceptions.
•Six staff wristbands will be issued at event move in.
•Vendor move-in instructions & set up times will be sent out via email one month & two weeks prior to event date from cece@fm3marketing.com. Be sure to check your spam folder.
•100 linear feet booth sizes (or larger) are only available to sponsors, please email cece@fm3marketing.com for sponsorship opportunities. Sponsorship opportunities begin at $3,850 per event and include a complimentary booth space. ALL BOOTH SPACES ARE 20 FEET IN DEPTH.
•Sales Tax in Kentucky: All vendors must charge 6% sales tax on all sales and remit to Ky Dept of Revenue. The form will be available at the event and/or emailed to you. This must be submitted to the state of Kentucky even if no sales were made.
TERMS AND CONDITIONS:
•Payment: Must be paid in full.
•Discount: Multiple event discount does not apply to this event.
•Cancellation: No refund 30 days or less to the event; 50% refund if 31 days or more from the first day of the event.
•Shipments: If shipping any items in or out of the venue, you will be billed an additional $300 and we must know prior to the show. We are not responsible for the arrival or departure of shipments. We are not responsible for any lost or stolen items.
•Apparel Sales: Apparel sales in Bowling Green are allowed.
•Subletting: No subletting or sharing of booth space. Space is for one company only.
•Insurance and Liability: Show management or their respective sponsors or agents, nor the show facilities, are responsible for injury, loss or damage from any cause whatsoever that may be suffered by a vendor, employee of the vendor or property belonging to the vendor or vendor’s employee. The vendor, upon signing this agreement, expressly releases the foregoing named individuals and employees from all claims for such loss, cancellation, damage, or injury. Show Management nor show facility assumes no responsibility or liability for goods delivered to the fairgrounds, or for materials left in a facility building or on the grounds after closing hours. By signing this agreement, the vendor acknowledges that he/she has a valid liability policy with an insurance company that is recognized by the state(s) in which the event(s) occur(s). The policy must list Holley, FM3 Performance Marketing and the track for each event attending as additional insureds. A Certificate of Insurance (COI) must be presented before start of event. You will receive specific COI requirements no later than 45 days prior to the event.
•Taxes and Fees: Your company is responsible for any permit fees or taxes that may be required by local authorities.
•Please note that this is an application. Submitting the completed form and payment does not guarantee a booth space. We reserve the right to review and deny any vendor application. In the event of a denial, a full refund will be issued.
